Retrieve the PDF and the supporting detail together

The reviewed Checking My Tax Invoices guide directs sellers to Finance > Invoices, with separate Download and Export invoice detail actions and files accessible through Export History. It identifies platform commission and shipping among the fees shown in the invoice workflow.

The guide's stated coverage lists 12 countries and does not list Greece. For an account outside that published scope, confirm the available invoice workflow in Seller Center rather than assuming identical screens. Menu wording can also differ by locale.

  1. Open Finance > Invoices in the relevant seller account.
  2. Select the required invoice and billing period.
  3. Download the PDF.
  4. Export the supporting invoice detail and retrieve it from Export History.
  5. Save both with the shop, currency, invoice number and period.

Understand the issue date without turning it into a guarantee

The invoice guide says platform commission invoices are monthly and generally available around the 15th of the following month. That is an approximate publication expectation, not a guarantee for every invoice. Confirm the selected period before deciding a document is missing.

If the document is unavailable, preserve an estimated accrual based on the available detail as appropriate to the accounting process and mark it provisional. Do not invent an invoice number or treat a settlement export as though it were the issued tax document.

Illustrative reconciliation of invoice totals

Assume a PDF shows €108 platform commission and €24 shipping charges, with the same tax presentation used throughout this simplified example. The supporting detail should explain €132 in the corresponding fee totals. A €2,000 bank payout is not a reconciliation target for that invoice because the payout contains sales and other settlements.

If the spreadsheet sums to €130, investigate the €2 difference using invoice scope, included fee types, currency, credit or adjustment records and rounding. Do not place an unexplained €2 into advertising or product cost to force agreement.

Keep invoice tax and output VAT distinct

Output VAT on goods sold to buyers is a different accounting question from VAT shown on a platform service invoice. The platform commission guidance says its stated fees include applicable tax; that does not tell every seller how much invoice tax is recoverable.

Use the actual invoice's issuer, recipient, currency, tax labels and amounts. Match the seller entity and maintain the original document. This cost-planning site does not establish a right to deduct VAT or prescribe journal entries for every entity.

What should the close process do before the invoice arrives?

Separate provisional period estimates from the final issued document. When the invoice becomes available, replace or reconcile the estimate through the established accounting process and retain the difference as an identifiable adjustment.

The useful control is whether every material invoice amount has an explained origin, not whether the invoice was forced to match one payment batch. A timing difference can be valid; a duplicated document or a missing fee row needs investigation.
